Job Summary:
An exciting opportunity has arisen within the Arbor Acres unit for an Admin Clerk. We are seeking a detail-oriented individual with strong administrative and organizational skills, as well as practical knowledge of relevant systems and processes.
Minimum Requirements:
Grade 12 qualification.
Certificate in Business Administration and strong computer skills are beneficial.
Proficiency in MS Office applications, especially Excel, Word, and Outlook.
Excellent numerical literacy and strong analytical skills.
A minimum of 2 years of experience in office administration or a similar role.
Exceptional communication skills (verbal, written, in-person, and telephonically).
High professional work standards with attention to detail.
Possession of a valid driver's license.
Duties and Responsibilities:
General filing and recordkeeping, including compiling, sorting, and verifying income and outgoing documents.
Preparing weekly hatch reports from processed data to report to other departments and head office.
Assembling weekly document packs to submit to head office (including stock sheets, purchase requisitions, and delivery notes).
Checking and verifying documents such as hatch notifications, settings, forecasts, and delivery notifications.
Preparing and verifying weekly water usage reports.
Facilitating the paperwork for routine veterinary testing and hygiene samples.
Maintaining the vet file for vet visits.
Assisting with the upkeep of the Health & Safety file with other supervisors.
Managing Payroll and HR documentation, including timesheets, leave notes, overtime approvals, and training registers.
Distributing all Payroll and HR communications and documentation.
Updating training materials as required and facilitating relevant training for staff.
Implementing task plans for departmental supervisors to ensure timely submissions of documents.
Reporting IT-related issues to the IT department and head office.
Maintaining the asset register for the site.
Executing other operational tasks as required.
